Leasing your workplace printers is often very expensive. Small businesses with 2 medium duty office copiers on lease can easily spend $15,000 dollars per year in leasing and toner expenses.
A realistic cost to own the same machines is outlined below.
Assumptions:
Copier 1: HP LaserJet Enterprise MFP M635h ($3,200)
Copier 2: HP Color LaserJet Enterprise MFP M480f ($1,000)
B&W Prints Per Year 15,000
Color Prints Per Year: 15,000
Cost of Machines | Toner Cost | Total Cost to Own | Total Cost to Lease | |
Year 1 | $4,200 | $2,500 | $6,700 | $15,000 |
Year 2 | $0 | $2,500 | $2,500 | $15,000 |
Year 3 | $0 | $2,500 | $2,500 | $15,000 |
Year 4 | $0 | $2,500 | $2,500 | $15,000 |
Year 5 | $0 | $2,500 | $2,500 | $15,000 |
5-Year TOTAL | $16,700 | $75,000 |
The printer leasing companies may present their solution as a good value b/c they provide support for these machines, but as you likely have already experienced, their support can be very minimal and inconvenient.
Additionally, with these savings, you could afford to replace your printer in the worst case scenario that there were no simple fix.
Our Preferred Printers
We like HP enterprise copiers for their reliability, toner availability, features, and ease of use.
Printer Life Expectancy
HP enterprise machines are intended for very high print volumes, we would easily expect them to last 5-7 years without major issues in an average small business.
Conclusions
It is our opinion that leasing contracts do not benefit small businesses considering their high cost. Owning your own printers may be an easy way to take back some capital.
